Use small numbers for the first review
Begin with the asset record
Use the asset identifier, assigned custodian, issuing team, and expected return source. Do not add a device because someone remembers seeing it with an employee.
If the record is incomplete, flag the gap to IT or facilities. The coordinator can reconcile records, but should not decide ownership from a photograph or message alone.
Make custody changes visible
Record when the asset moved from employee to courier, facilities, IT, or another owner. A signature, receipt, ticket, or approved handoff note can support the change.
Separate “received” from “inspected.” The person who receives a laptop may not be the person qualified to assess its condition or data state.
Handle exceptions without blame
A missing device, damage report, or disputed return needs an owner. The coordinator records the facts supplied and routes the issue; they should not accuse the employee or calculate a deduction.
Keep personal address and shipping details in the restricted system. The public-facing task status needs only the delivery state and owner.
Coordinate with access closeout
Property return and access shutdown are related but separate controls. A returned laptop does not prove that accounts were disabled, and an account closure does not prove that the device was received.
Link the records through approved IDs and owners without copying sensitive content into the property queue.

Close from the responsible owner
The asset owner confirms return, inspection, transfer, loss treatment, or continued investigation. The coordinator files the proof and shows open work.
Review recurring gaps such as missing asset IDs, unclear couriers, or unapproved storage. Fix the control rather than asking support staff to infer more.
