Verify the requester before the record

An email address, logo, or familiar company name is not enough to establish authority. Use the approved verification method and record the purpose, requested fields, and employee consent when required.

If the request is incomplete, the coordinator can ask for the missing authorization. They should not search broadly for personal details to satisfy it.

Use a narrow disclosure scope

The authorized verifier decides whether the request calls for dates, title, status, or another permitted field. Prepare only what the owner approved.

Do not add salary, reason for leaving, performance, or personal contact information because a form has a blank field.

Separate draft from release

A coordinator may populate an approved form from an approved source, but the employer’s verifier reviews and releases it. Keep the draft and sent version distinct.

The sent record should show recipient, fields disclosed, approval, date, and channel. This helps correct an error without pretending the original was never sent.

Route unusual requests

Requests from debt collectors, law enforcement, former employees, or unknown third parties may need a different owner. Keep the request and route it without making a legal conclusion.

If the employee disputes the record, preserve the dispute and send it to HR or records ownership.
