Capture the candidate’s instruction without enlarging it

Record when it arrived, how identity was matched, which role or requisition it names, and any stated limits. “I cannot continue with Tuesday’s interview” does not necessarily mean “remove me from every role.” A missed meeting, unanswered reminder, or recruiter assumption is not a candidate-authored withdrawal. Apply the employer’s separate inactivity process when no clear instruction exists.

The source record should preserve the candidate’s words without commentary about motivation or quality. Avoid labels such as unreliable, not serious, or poor fit unless an authorized hiring owner makes and documents a separate disposition using approved criteria.
